We are now recruiting for an Executive Assistant on a full-time basis who will be reporting directly into the Chief Financial Officer. This role will provide executive administrative assistance to the Chief Financial Officer, the Group’s Company Secretary and members of the Plc Board.
We have an opportunity for a highly skilled, personable, meticulous, and self-sufficient Executive Assistant with time server experience and knowledge.
The right person for this role will have strong IT skills, must be very comfortable using computers and confident in their own ability to learn any new programs quickly, as well as stakeholder management working alongside the Executive Team, Senior Leadership Team, Executive Support Team, Support Service departments, customers, suppliers and other external stakeholders.
What you’ll be doing
- Delivery of executive administrative support to the Chief Financial Officer, the Group’s Company Secretary and members of the Plc Board (the ‘Directors’)
- Extensive calendar management and coordination of meetings, ensuring maximum effectiveness
- Management of incoming emails to Director’s inbox as agreed with the Director
- Dealing with privileged and market sensitive information
- Alert Directors of important tasks and deadlines, or complete tasks on their behalf as appropriate/instructed
- Ensure Directors are well prepared for all meetings and events
- Responsibility for the booking of travel and accommodation, and management of approvals, in accordance with company guidelines
- Produce presentations, reports, meeting minutes and correspondence
- Coordination of monthly meetings, including collating information and meeting papers
- Arranging meeting and event venues, equipment, and refreshments
- Provide support at management meetings and committees as required, including minute taking and ensuring actions are followed up appropriately
- Provide support at Plc Board and Committees meetings and assist in the organisation of the AGM
- Assist in the upload of Board documents to Board Intelligence online platform
- Collate and maintain any regular reporting on behalf of Directors in a timely manner
- Management of organisational charts and up to date contact information
- Support Directors with the ongoing roll out and implementation of the Velocity strategy Processing of expense payments, purchase orders, invoices and payment requests and management of approvals
- Maintaining excellent communication channels with both internal and external contacts to ensure efficiency of the administration processes
- Carry out specific research as required
Essential
- Proven experience as an Executive Assistant supporting Senior Directors
- Working knowledge of Microsoft packages, especially PowerPoint Flexibility in approach, patience, and adaptability, plus ability to work independently and on own initiative
- Effective communication skills along with the ability to work effectively under pressure with a high level of integrity, trust, discretion, and confidentiality
- Excellent time management and organisation skills
- Capable of taking ownership and responsibility
