Facilities Administrator – Join the Speedy Family

Location: Hybrid – This role can be based anywhere in the UK
Department: Property
Hours: Monday to Friday, 37.5 hours

What You’ll Be Doing

As our Facilities Administrator, you will be central to the smooth running of our Facilities function. You’ll support the Facilities Maintenance Coordinator across planned and reactive maintenance activities, taking ownership of key administrative and facility-related processes, including:

Facilities Administrative Duties

  • Managing the Facilities mailbox, triaging queries and escalating where needed

  • Coordinating the internal helpdesk, ensuring timely responses and updates

  • Booking and managing equipment hire/off-hire, ensuring accurate tracking

  • Communicating with contractors, suppliers and internal departments

  • Scheduling works, site visits, and contractor attendance

  • Maintaining accurate records of planned and reactive works

General Administration

  • Raising Purchase Orders and processing invoices

  • Managing compliance certification, ensuring documentation is up to date

  • Supporting audits, reports, and data collation

  • Logging, maintaining, and updating internal systems and spreadsheets

  • Ensuring all tasks are completed accurately and within required SLAs

You’ll be the hub of our facilities operations — keeping processes running efficiently and ensuring our estate remains safe, compliant, and well managed.


What We’re Looking For

  • Strong IT skills (Excel, Word, Outlook, PowerPoint)

  • Experience with Microsoft Dynamics AX or D365 (advantageous)

  • Excellent organisational, administrative and reporting skills

  • Ability to prioritise and manage multiple tasks with accuracy

  • Strong communication and teamwork abilities

  • Analytical mindset with exceptional attention to detail

  • Facilities or property administration experience is essential
